The Viraly Media Library is your central hub for managing all visual content used across your social media posts. Organize images and videos into collections, add descriptive notes, apply tags for easy searching, and maintain a well-structured asset repository.

Getting Started with Media Library

Access your Media Library from the left sidebar navigation. The interface displays all your collections and media in an organized, visual layout.

The Media Library provides two viewing modes:

  • Grid View – Visual thumbnail layout perfect for browsing images and videos
  • List View – Detailed table format showing file names, sizes, and metadata

Understanding Collections

Collections are folders that help you organize related media files. Think of them as albums or categories for your visual content.

Creating a New Collection

Click the “Add Collection” button in the top-right corner, enter a name, and click “Add” to create your collection.

Once you save it, you’ll be able to upload media into it:

Each collection includes powerful organizational features:

  • Collection Name – Click to rename anytime
  • Notes Section – Add descriptive notes about the collection’s purpose or contents
  • Tags – Apply multiple tags for advanced filtering and search
  • Media Counter – See how many items are in each collection

Adding Collection Tags

Tags help you categorize collections across multiple dimensions. For example, you might tag a collection with both “Product Photos” and “Summer Campaign”.

Pro Tip: Use consistent tag naming conventions across your team to make searching and filtering more effective.

Renaming Collections

Click directly on any collection name to enter edit mode. The name becomes editable, allowing you to rename on the fly.


Uploading Media

Add media files to any collection using multiple upload methods:

Upload Methods

  1. Click to Browse – Click the plus (+) icon or upload area to open your file browser
  2. Drag and Drop – Drag files directly from your computer into the collection area
  3. Paste from Clipboard – Copy an image and paste (Cmd+V / Ctrl+V) directly into a collection

Supported File Types: JPG, JPEG, PNG, GIF, BMP, WEBP, SVG, MP4, MOV, AVI, MKV, WEBM


Managing Individual Media Items

Each media item in your library can be customized with titles, notes, and other metadata to keep your assets organized and searchable.

Custom Titles and Notes Indicator

When you add a custom title or notes to a media item, an overlay appears at the bottom of the thumbnail showing this information at a glance.

  • Custom Title – Appears in the overlay (truncated if too long)
  • Notes Icon – Document icon indicates notes are attached
  • Smart Display – Overlay only shows when custom metadata exists (files with default names like “IMG_1234.jpg” won’t show overlay)

Editing Media Details

Hover over any media thumbnail to reveal the edit button (pencil icon). Click it to open the Edit Media Details modal.

The Edit Media Details modal provides full control over media metadata:

  • Title – Add a descriptive, searchable title for the media
  • Notes – Add detailed notes about the image context, usage rights, or other important information
  • Collections – View which collection(s) contain this media
  • Metadata – View file type, size, dimensions, and uploader information

Once the media name/notes are saved, you can see it in the overlay:

Best Practice: Add descriptive titles to make media searchable. For example, “Golden Hour Beach Sunset” is more useful than “IMG_5432.jpg”


Searching and Filtering

The Media Library includes powerful search and filtering capabilities to help you find exactly what you need, when you need it.

Search Functionality

Use the search bar at the top to search across:

  • Media titles
  • Collection names
  • Collection tags
  • Media notes

Search results update in real-time as you type, showing only matching collections and media items.


Using Media in Posts

When creating posts in the Post Scheduler, you can access your entire Media Library to select images and videos for your social media content.

  1. Navigate to the Post Scheduler
  2. Click “Media Library” when adding media to a post
  3. Browse your collections or search for specific media
  4. Click on any media item to add it to your post

All your organized collections, titles, and notes make it easy to find the perfect media for each post.


Best Practices

Organize with Purpose

  • Create collections based on campaigns, products, or content themes
  • Use descriptive collection names like “Q4 Product Launch” instead of “Photos 2024”
  • Add collection notes to document purpose and usage guidelines

Add Meaningful Metadata

  • Give media files custom titles instead of keeping default camera names
  • Use notes to document image source, licensing info, or usage context
  • Apply tags consistently across your team

Maintain Your Library

  • Regularly review and remove unused media to keep your library clean
  • Update collection names and tags as campaigns evolve
  • Use the search function to identify duplicate or similar images

Warning: Deleting media from the library will remove it from any scheduled posts that use it. Always check usage before deleting.


Frequently Asked Questions

Can I add the same media to multiple collections?

Currently, each media item belongs to one collection. If you need the same image in multiple places, you can upload it to different collections or use tags to create cross-cutting organization.

What happens if I rename a media file that’s used in scheduled posts?

Changing the title in the Media Library only updates the metadata. The actual file remains the same, so all scheduled posts using that media will continue to work normally.

How do I know which media items have notes?

Media items with notes display a document icon in the bottom overlay. This icon appears alongside or in place of the custom title, making it easy to identify which items have additional information attached.

Can I search within notes content?

Yes! The search functionality searches across media titles, collection names, collection tags, and all notes content.

What’s the maximum file size for uploads?

File size limits depend on your account plan. Check your account settings or contact support for specific upload limits.
