Every post in Viraly has a status that tells you where it is in its lifecycle. This guide explains what each status means, what actions are available, and how to handle failed posts.
Status Overview
Posts in Viraly can have the following statuses:

| Published | Green | Successfully posted to social media |
| Failed | Red | Something went wrong during publishing |

Draft
A Draft is a post that has been created but not yet scheduled. Drafts are shown with an orange badge.
When a Post is a Draft
- You create a new post and save it without scheduling
- You click “Save as Draft” instead of scheduling
- A scheduled post is moved back to draft
Available Actions
- Schedule — Set a date and time for the post to publish
- Publish Now — Publish immediately without scheduling
- Edit — Modify the post content, media, or settings
- Clone — Create a copy of this post
- Delete — Permanently remove the post

Scheduled
A Scheduled post is set to publish automatically at a specific date and time. Scheduled posts are shown with a blue/indigo badge.
When a Post is Scheduled
- You set a publish date/time when creating the post
- You schedule a draft post
- A pending approval post is approved
Available Actions
- Publish Now — Skip the schedule and publish immediately
- Edit — Modify the post (this may reset the schedule)
- Move to Draft — Unschedule and save as draft
- Clone — Create a copy of this post
- Delete — Cancel and remove the post

Processing
When it’s time for a scheduled post to publish, it goes through two processing stages:
Preparing (Processing)
The post is being prepared for the social media platform. This includes:
- Converting content to platform-specific format
- Processing images and videos
- Validating post requirements
You’ll see an animated pink dot with “Preparing” text.
Sending (Publishing)
The post is being sent to the social media platform. You’ll see an animated purple dot with “Sending” text.
Note: Posts are read-only during processing. You cannot edit or delete them until processing completes.
Published
A Published post has been successfully posted to the social media platform. Published posts are shown with a green badge.
Available Actions
- View Post — Opens the post on the social media platform (external link)
- Copy Link — Copies the post URL to your clipboard
- Clone — Create a copy of this post to reuse

Failed
A Failed post encountered an error during processing or publishing. Failed posts are shown with a red badge and an error message.
Why Posts Fail
Common reasons for post failures:
- Social media account disconnected or expired
- Content violates platform guidelines
- Media file issues (wrong format, too large, corrupted)
- Platform API errors or outages
- Rate limits exceeded
Error Display
Failed posts show a red error banner with:
- Error message explaining what went wrong
- “More Details” link for technical information
How to Fix Failed Posts
- Click Edit on the failed post
- Read the error message to understand the issue
- Fix the problem (reconnect account, adjust content, fix media)
- Save and reschedule the post

Pending Approval
A Pending Approval post is waiting for one or more team members to approve it before it can be scheduled. This status is shown with a purple badge.
Note: The approval workflow is only available on Business, Agency, and Enterprise plans.
How Approval Works
- Post creator requests approval from specific team members
- Approvers receive notification to review the post
- Approvers can approve or reject with optional comments
- Once approval requirements are met, post becomes Scheduled
- If rejected, post moves back to Draft
Approval Modes
- All Required — Every selected approver must approve
- Minimum Required — At least X approvers must approve (e.g., 2 of 5)

Filtering Posts by Status
You can filter your calendar or list view to show only posts with specific statuses:
- Look for the status filter in the sidebar or filter panel
- Check the statuses you want to see:
- Draft — Shows only draft posts
- Pending Approval — Shows posts awaiting approval
- Scheduled — Shows scheduled and processing posts
- Published — Shows successfully published posts
- Failed — Shows posts that failed to publish
- The view updates to show only matching posts

Each filter shows the count of posts in that status, helping you quickly see how many drafts need attention or how many posts failed.
Frequently Asked Questions
Can I edit a scheduled post?
Yes, you can edit scheduled posts. Click the post to open it, make your changes, and save. Note that significant changes may require rescheduling. See How to Edit Scheduled Posts.
Why can’t I edit my post?
Posts are read-only during the Processing and Publishing stages. Wait for the post to finish publishing (or fail) before editing. This usually takes just a few seconds to a minute.
How long do posts stay in “Processing” status?
Processing typically takes a few seconds to a couple of minutes, depending on the content (videos take longer than images). If a post is stuck in processing for more than 10 minutes, it may have failed silently — try refreshing the page.
Can I retry a failed post?
Yes. Click Edit on the failed post, fix the issue mentioned in the error message, then save and reschedule. The error is cleared when you save, allowing you to try again.
What happens if only some platforms fail?
If you’re posting to multiple platforms and only some fail, the post will show as “Published” with an orange warning banner indicating partial success. The warning shows which platforms failed and why.
How do I see all my failed posts?
Use the status filter and select only “Failed” to see all posts that need attention. The filter shows a count so you can quickly see how many failed posts you have.
